Please note, there is no virtual program associated with the 2026 Elevate events. All sessions will be held onsite in Fort Worth, TX and Rockford, IL.

OLC Membership is required to register at the member rate. Free community memberships do not qualify for conference and event discounts.

Deadlines & Fees

OLC Event Registration Polices

As a small non-profit organization, we strive to create registration policies that offer flexibility to accommodate the unforeseen circumstances that participants may face, while also sustaining our support and services across our community.

As such, we have established the following policies for OLC Conferences/Events.

  • Access to the conference/event will not be provided until full payment is received.
  • Conference/event registration may be paid with a credit card, check, or wire transfer.
  • Purchase orders are accepted at registration, but must be paid in full before access is granted.
  • Registration may be paid with a valid, unexpired OLC credit memo.
    • No refunds will be made on credit memos.
    • Credit memos are transferable within an institution.
  • Substitutions to a different attendee are allowed one time and must be made by Monday, July 20, 2026. No substitutions will be allowed after this date.
  • No substitution fee is assessed for the first substitution of an attendee. A $150 fee will be assessed for each subsequent substitution.
  • The request for substitution, along with the name and email address of the previous registrant plus the substitute must be emailed to conference@onlinelearning-c.org.
  • On or before July 2, 2026:
    • Cancellation requests must be submitted in writing to conference@onlinelearning-c.org.
    • A 20% cancellation fee will be deducted from the refunded amount, regardless of the reason for cancellation.
    • Credit memos may be requested instead of a refund. Credit memos will not have a cancellation fee applied. See credit memos policy below.
  • After July 2, 2026, 11:59pm ET:
    • No cancellations are allowed.
    • No refunds or credit memos will be issued for cancellation or non-attendance, regardless of the reason for the cancellation or non-attendance.
  • Credit memos are transferable within your organization.
  • Credit memos issued for Elevate 2026 expire on December 31, 2027.

If you do not attend the program and do not submit a written request for refund, credit memo, or substitution request by July 2, 2026, the Online Learning Consortium will retain all fees. The Online Learning Consortium is not responsible for any change/cancellation charges assessed by airlines, travel agents, hotels or other similar vendors.

OLC strives to deliver our events as scheduled. However, we reserve the right to reschedule, restructure or cancel a program due to unforeseen extenuating circumstances or low registration. Should the scheduled onsite program be canceled, all registrants will be automatically converted to Full Virtual registrations.

Additional Information

Below are some specific ways in which your data is shared to enhance your experience during the conference:

  1. Registration – during the registration process, you are provided various options for sharing your data with other attendees, which includes exhibitors and sponsors;
  2. Sponsor tables– by interacting with a sponsor, your name, organization, title, country, and email address will be shared with the sponsor if you consent for the exhibitor to scan your badge.

Presenters are provided with the applicable Early Bird member/non-member rate for the event. Presenters must register by 6/25/26 in order for the discount to apply. Any presenters registering after 6/25/26 will be charged regular member/non-member rates.

Event Attendance Policies

By registering for an OLC event, you agree to comply with all rules and conditions of OLC event participation. These policies are strictly enforced and apply without exception to all attendees, including exhibitors and media. Violation of the policies will result in being removed from the event with no refund and no ability to return on subsequent days.

Upon registering for an event, you agree to represent yourself at the event using the affiliation used to register. Changes in affiliations in your account for the event after registration are not permitted.

As a community, we do not tolerate discrimination, abuse, or harassment of any kind by anyone at our physical and virtual events. Prohibited behaviors include, but are not limited to, harassment or intimidation based on race, religion, language, gender, sexual orientation, gender identity, gender expression, disability, appearance, or other group status; sexual harassment, including unwelcome sexual attention, stalking (physical or virtual), or unsolicited contact; and disorderly or disruptive actions in any physical or virtual conference space, including meeting rooms, live or online sessions, video conference channels, chat and discussion spaces, live or online exhibit hall, or in any other conference spaces, that might adversely affect another participant’s experience. We expect all participants to be respectful of other people and their viewpoints, even though they might be different, and to assist with creating and maintaining an inclusive and respectful environment at all times. If you feel threatened, or harassed, or at risk of physical harm, or witness any questionable behavior:

If in an emergency situation:

  • Immediately dial 9-1-1 or ask for assistance from on-site security
  • Ask for help from an OLC staff member
  • Speak to onsite staff, or
    • Email to customerservice@onlinelearing-c.org, or
    • Call 617-716-1414 (Monday–Friday, 8:00 a.m.–5:00 p.m. ET)

 

OLC reserves the right at its sole discretion to expel anyone, without refund, from all current and future events, whose conduct is not in keeping with these expectations.

All persons in the event program area must be registered attendees displaying an event badge. Guests are not allowed at Elevate events. No access will be granted to meals, sessions, events, etc. without the proper credentials. OLC reserves the right to deny access to meals /events to anyone not displaying an appropriate badge. To ensure an environment appropriate for professional learning, for safety and liability reasons, and to reserve session space for paid attendees, children are not allowed at OLC events. During all active operating hours of the OLC event, no one under 18 years of age will be permitted to attend sessions, visit the exhibit hall (including move-in and move-out times) or enter the conference venue unless:

  • that person is a presenter and registered participant, and
  • is accompanied by an adult chaperone.

Strollers or infant carriers (worn or carried) are not permitted at any time in the exhibit hall or in event sessions. OLC reserves the right to request proof of age from anyone at any time and to revoke a badge or deny attendance of any registered participants who are under 18.

In order to protect our valued sponsors and the significant investment they have made to participate as a partner at the event, our rules strictly prohibit solicitation by attendees who do NOT have sponsor tables. Any non-sponsors who are observed soliciting business at the event, a practice known as “suitcasing” or “outboarding”, will be asked to leave immediately. Individuals and companies found to be suitcasing or outboarding may also be excluded from future OLC events.

Common courtesy dictates that attendees must obtain any presenter’s permission to post, record, or stream their session or activity in any medium or social media channel (including, but not limited to, Instagram, Bluesky, SnapChat, TikTok, Facebook, and YouTube). Sharing out links, resources, login credentials, or other information intended for registered participants to an event to non-registrants is not acceptable. OLC reserves the right to ask any participant to move within or to leave a session venue if their use of technology is disruptive to presenters or other participants or shared with non-registrants.

Please Note: By attending the event, you are agreeing to allow images, audio, chat excerpts, and video of you recorded on site or during a virtual session taken by OLC personnel to be used for educational and promotional purposes. Please contact customerservice@onlinelearning-c.org with questions.

Event attendees agree to abide by local and state health and safety regulations as well as guidelines from the Centers for Disease and Control and Prevention. Registration refund and cancellation policies apply; substitutions will be allowed for medical emergencies or illness.

Event attendees voluntarily assume all risk and danger of personal injury and all hazards arising from, or related in any way to, the meeting, whether occurring prior to, during, or after the event.

Member Savings

OLC Member savings will be automatically applied during checkout. You must be logged into your OLC user account for your savings to apply.
