Refund and Cancellation Policy

As a small non-profit organization, we strive to create registration policies that offer flexibility to accommodate the unforeseen circumstances that participants may face, while also sustaining our support and services across our community.

As such, we have established the following policies for OLC Innovate 2023.

  • Access to the event (virtual and/or onsite) will not be provided until full payment is received.
  • Registration fees may be paid with a credit card, check, or wire transfer.
  • Purchase orders are accepted at registration, but must be paid in full before access is granted.
  • Registration may be paid with a valid, unexpired OLC credit memo.
    • No refunds will be made on credit memos. 
    • Credit memos are transferable within an institution.
    • Credit memos may be combined within an institution for virtual group package purchases.
  • Substitutions:
    • Substitutions to a different attendee are allowed one time and must be made by Monday, March 20, 2023 (two weeks before the event). No substitutions will be allowed after this date.
    • Substitutions are not permitted after the virtual portion of the conference begins.
    • Substitutions must be made in the same registration format (All Access Pass or Full Virtual Pass).
    • No substitution fee is assessed for the first substitution of an attendee. A $100 fee will be assessed for each subsequent substitution.
    • The request for substitution, along with the name and email address of the previous registrant plus the substitute must be emailed to conference@onlinelearning-c.org.
  • Conversions:
    • Conversion of a registration from All Access Pass to a Full Virtual Pass (or vice versa) is allowed one time and must be made by Friday, March 3, 2023. (30 days before the event start date). No conversions will be allowed after this date.
    • A request to convert from an All Access Pass to a Full Virtual Pass registration would result in a refund of the difference to the original form of payment.
    • A request to convert from a Full Virtual Pass to an All Access Pass will result in needed payment for the difference.
    • The request for conversion must be emailed to conference@onlinelearning-c.org.
  • 30 days or more before the event (on or before March 3, 2023 at 11:59pm ET): 
    • Cancellation requests must be submitted in writing to conference@onlinelearning-c.org
    • A 15% cancellation fee will be deducted from the refunded amount.
    • Credit memos may be requested instead of a refund. Credit memos will not have a cancellation fee applied. See credit memos policy below.
    • A group package (virtual only) cancellation will result in the cancellation of all attendees registered through that group package.
  • Within 30 days of the event (after March 3, 2023 at 11:59pm ET and later): No cancellations are allowed. No refunds or credit memos will be issued for cancellation or non-attendance, regardless of the reason for the cancellation or non-attendance. However, substitutions for attendance per our substitution polity are still permitted within the 30-day window upon notification to OLC. 
  • Credit memos are transferable within your organization.
  • Credit memos issued for 2022 event registrations, which were originally for events paid for via cash or credit card payment, are good for any OLC product (excluding professional membership and IELOL fees) through December 31, 2023.

If you do not attend the program and do not submit a written request for refund, credit memo, or substitution request by March 3, 2023, the Online Learning Consortium will retain all fees. The Online Learning Consortium is not responsible for any change/cancellation charges assessed by airlines, travel agents, hotels or other similar vendors.

OLC strives to deliver our events as scheduled. However, we reserve the right to reschedule, restructure or cancel a program due to unforeseen extenuating circumstances or low registration. Should Innovate 2023 onsite program be canceled, all registrants will be automatically converted to Full Virtual Pass registrations, with the difference between All Access Pass and Full Virtual Pass fee refunded back to the original form of payment.

  • Select the “…” dropdown button next to your attendee record
  • Select “Purchase New Sessions” from the dropdown
  • Select the pre-conference Master Class you will like to add to your registration
  • Select the guest meal/reception ticket option to add to your registration
  • Continue the checkout process to complete your purchase

Below are some specific ways in which your data is shared to enhance your experience during the conference: 1) Virtual Participant List – for those who have not opted out, your name, title, and organization will be included on the virtual platform for networking purposes. 2) Exhibit Booths – by interacting with an exhibit booth on the virtual platform, your name, organization, title, country, and email address will be shared with the exhibiting company.

In order to protect our valued exhibitors and sponsors and the significant investment they have made to participate as a partner at the conference, our rules strictly prohibit solicitation by attendees who do NOT have exhibit booths. Any non-exhibitors who are observed soliciting business at the conference, a practice known as “suitcasing” or “outboarding”, will be asked to leave immediately. Individuals and companies found to be suitcasing or outboarding may also be excluded from future conferences.
