*The member rate on the Up to 100 and the Unlimited (101+) Virtual Passes are available to institutional member institutions only.  These passes apply to only a single campus and are intended for faculty and staff assigned to that campus.  Note:  Faculty and Staff should register using their work email with the institution’s domain in order to ensure member pricing is received.

Refund and Cancellation Policy

As a small non-profit organization, we strive to create registration policies that offer flexibility to accommodate the unforeseen circumstances that participants may face, while also sustaining our support and services across our community.

As such, we have established the following policies for OLC Accelerate 2022.

  • Access to the conference (virtual and/or onsite) will not be provided until full payment is received.
  • Conference registration may be paid with a credit card, check, or wire transfer.
  • Purchase orders are accepted at registration, but must be paid in full before access is granted.
  • Conference registration may be paid with a valid OLC credit memo.
    • Unexpired credit memos may be used for  conference registration. 
    • No refunds will be made on credit memos. 
    • Credit memos are transferable within an institution.
    • Credit memos may be combined within an institution for virtual group package purchases.

Substitutions to a different attendee is allowed one time and conversion of a registration from All Access Pass to a Full Virtual Pass (or vice versa) are allowed one time and must be made by Monday, October 17, 2022 (two weeks before the event). No substitutions or conversions will be allowed after this date.

  • Substitutions:
    • Substitutions must be made in the same registration format (All Access Pass or Full Virtual Pass).
    • No substitution fee is assessed.
    • The request for substitution, along with the name and email address of the previous registrant plus the substitute must be emailed to conference@onlinelearning-c.org.
  • Conversions:
    • A request to convert from an All Access Pass to a Full Virtual Pass registration would result in a refund of the difference to the original form of payment.
    • A request to convert from a Full Virtual Pass to an All Access Pass will result in needed payment for the difference.
    • The request for conversion must be emailed to conference@onlinelearning-c.org.
  • 30 days or more before the event (before October 1, 2022): Individual or group package registration is cancelable with a refund or credit memo.
    • Cancellation request must be submitted in writing to conference@onlinelearning-c.org by this deadline. 
    • A 15% cancellation fee will be deducted from the refunded amount.
    • Credit memos may be requested instead of a refund. Credit memos will not have a cancellation fee applied. See credit memos policy below.
    • A group package (virtual only) cancellation will result in the cancellation of all attendees registered through that group package.
  • Within 30 days of the event (after October 1, 2022): No cancellations are allowed. No refunds or credit memos will be issued for cancellation or non-attendance.
  • Credit memos are transferable within your organization.
  • Credit memos issued for Accelerate 2022 or for Innovate 2022 registrations, which were originally for events paid for via cash or credit card payment, are good for any OLC product (excluding professional membership and IELOL fees) through December 31, 2023.
  • Cancellations made in 2022 for registrations for 2022 events, which were purchased in 2021 by using a 2020 credit memo that was unexpired at the time of registration, will result in forfeit of use of such credit memo, since the use of such credit memo expired December 31, 2021.

If you do not attend the program and do not submit a written request for refund, credit memo, or substitution request by October 1, 2022, the Online Learning Consortium will retain all fees. The Online Learning Consortium is not responsible for any change/cancellation charges assessed by airlines, travel agents, hotels or other similar vendors.

OLC strives to deliver our events as scheduled. However, we reserve the right to reschedule, restructure or cancel a program due to unforeseen extenuating circumstances or low registration. Should Accelerate 2022 onsite program be canceled, all registrants will be automatically converted to Full Virtual Pass registrations, with the difference between All Access Pass and Full Virtual Pass fee refunded back to the original form of payment.

Below are some specific ways in which your data is shared to enhance your experience during the conference: 1) Virtual Participant List – for those who have not opted out, your name, title, and organization will be included on the virtual platform for networking purposes. 2) Exhibit Booths – by interacting with an exhibit booth on the virtual platform, your name, organization, title, country, and email address will be shared with the exhibiting company.

In order to protect our valued exhibitors and sponsors and the significant investment they have made to participate as a partner at the conference, our rules strictly prohibit solicitation by attendees who do NOT have exhibit booths. Any non-exhibitors who are observed soliciting business at the conference, a practice known as “suitcasing” or “outboarding”, will be asked to leave immediately. Individuals and companies found to be suitcasing or outboarding may also be excluded from future conferences.
